Using Word or Outlook? See the Microsoft 365 Add-in sections below for instructions on deploying the Office add-in.

Word & Outlook Add-in — Overview

The BrioDocs Microsoft Office Add-in brings AI document analysis directly into Word and Outlook. It connects to the BrioDocs desktop app running locally on the user's machine.

ComponentWhat it does
BrioDocs Desktop AppRuns on the user's machine and handles AI processing. On-device by default (data stays local); can optionally use Brio-hosted or bring-your-own-key cloud models.
Word / Outlook Add-inThe panel inside Microsoft Office that connects to the desktop app.

Both components are required. The add-in will show a download prompt if the desktop app is not running.

Installation Order

Either order works:

  • Add-in first — Install the add-in using the steps below. On first open, users see a welcome screen with a Download BrioDocs button.
  • Desktop app first — Install BrioDocs from https://registry.brio.ai/install, then install the add-in.

Manifest URLs

The add-in manifests are hosted and ready to use — no download needed for enterprise deployment.

Add-inManifest URL
Wordhttps://msaddin.brio.ai/manifests/BRIODocs-Word-Addin.xml
Outlookhttps://msaddin.brio.ai/manifests/BRIODocs-Outlook-Addin.xml

Enterprise Deployment (M365 Admin Center)

Deploys the add-in automatically to your entire organization — users don't need to do anything. Requires Microsoft 365 Global Admin or Exchange Admin privileges.

Repeat these steps once for the Word add-in and once for the Outlook add-in.

  1. Sign in to the Microsoft 365 Admin Center at admin.microsoft.com
  2. In the left sidebar, go to Settings → Integrated apps
  3. Click Upload custom apps
  4. In the "App type" dropdown, select Office Add-in
  5. Select Provide link to manifest file and enter the manifest URL:
    • Word: https://msaddin.brio.ai/manifests/BRIODocs-Word-Addin.xml
    • Outlook: https://msaddin.brio.ai/manifests/BRIODocs-Outlook-Addin.xml
  6. Click Next and review the permissions the add-in requests
  7. On the Users and groups step, choose:
    • Entire organization — deploys to everyone
    • Specific users or groups — useful for a pilot rollout
  8. Click Next, review the summary, then click Finish deployment

Note: Deployment may take up to 24 hours to propagate. Users do not need to restart Office.

What users will see after deployment

  • Word: A BrioDocs AI button appears in the Home ribbon
  • Outlook: A BrioDocs AI button appears in the toolbar when reading or composing email

Notebooks

What is a Notebook?

  • Legal cases with multiple contracts
  • Research projects with several papers
  • Due diligence with various documents

Insights & Transformations

What are Insights?

Insights are AI-generated analyses of your documents. Transformations are the prompts that create them.

Available Transformations

  • Dense Summary: Compressed overview of the entire document
  • Key Facts: Most important points and findings
  • Contract Analysis: Terms, parties, obligations (for contracts)
  • NDA Analysis: Confidentiality terms (for NDAs)

  2. Go to the Insights tab
  3. Select which transformations to run
  4. Click Generate

AI Models

About Models

BrioDocs lets you choose where the AI runs, so you can balance privacy, performance, and cost to fit how you work.

Where the AI Runs

  • On-device — Models run locally on your computer via llama.cpp. Your documents and prompts never leave your machine, and it can run fully offline / air-gapped. Models are downloaded once (2–8GB each).
  • Brio private models (Brio Remote) — Brio's own models that never train on your data. Run them on dedicated infrastructure — Brio Hosted or on-premises in your firm's own environment — for more power without local hardware limits.
  • Bring your own key (BYOK) — Connect your own instances of public cloud LLMs using your API key. Privacy is not guaranteed in this mode: those providers control what happens to your data.

Privacy First — Your Data. Your AI. You decide where your models and data live. On-device and Brio private models keep your data private; BYOK depends on the provider you choose. Switch modes any time in Settings → Models.

Downloading Models

  1. Go to Settings → Models
  2. Click Browse Available
  3. Select a model and click Download

Model Roles

  • Chat Model: Used for document conversations
  • Transformation Model: Used for generating insights
  • Large Context Model: Used for very long documents

Deleting Models

To free up disk space:

  1. Go to Settings → Models
  2. Find the model to remove
  3. Click the delete icon

  1. Open a Notebook with sources
  2. Click Create Podcast
  3. Select an Episode Profile (format/length)
  4. Choose Speaker Profiles (voices)
  5. Click Generate
